CREATIVE REFLECTION: This is the final task assigned to our committee, Logistics. Truly, the event planning and implementation phase was tiring but the event outcome was really worth it. The work done requires continuous follow-up and coordination with people most especially considering that the tasks assigned to our committee deals with one of the major components in holding an event: finding the appropriate venue and supplying all the necessary equipments for it.

ACTUAL OUTPUT: As a whole, I can say that the two-day bazaar has been quite successful in terms of the number of concessionaires that participated and the number of students who dropped by and shopped as well. As a matter of fact, the bazaar was extended for another day due to public demand.

NEW TASK: Follow-up on post-event requirements.

CREATIVE REFLECTION: I was satisfied with how things turned out for our event. Change in weather condition was inevitable but in general, the three-day bazaar was effective in raising funds for our beneficiary organization, COSCA. Everyone from the group cooperated in making this event quite a success!

TARGET OUTPUT: To be able to include additional names and equipments for the entry permits needed on November 7 and 8, 2005. To inquire regarding the exact dimensions of the requested tent. To ask for electrical assistance for the power supply to be used for our event. Lastly, to clarify if we still need to pay for electricity use.

PROBLEMS ENCOUNTERED: Lack of time.

ACTUAL OUTPUT: Fortunately, with regard to the entry permits, the additional names and equipments have been approved. Although the exact dimensions of the requested tent wasn't given, they provided the measurement of the smallest tent available which is 4x8 meters. The tent to be provided for our event is three times bigger the size. In order to seek electrical assistance, I made a letter addressed to Engr. Mendoza requesting for the need of power supply by certain booths from our event. Similarly, the request has been granted. Moreover, no electricity fee will be charged.

PERCENTAGE DONE: 100%

NEW TASK: Make sure that everything goes well on the day of the event itself.

CREATIVE REFLECTION: Last-minute follow-ups surely is stressful but it is necessary in order to clear things through before holding the event. Modifications before the event can possibly happen, thus, paying attention to major and minor details will be quite helpful.

The computation is as follows: Php43.00/person multiplied with eight (8) people multiplied with five (5) hours as it is the required duration for the tent set-up which totals to Php1720.00. Plus the dismantling fee of the said tents.

PROBLEMS ENCOUNTERED: Lack of knowledge regarding the payment process itself.

ACTUAL OUTPUT: We were able to talk to Dr. Clodualdo del Mundo Jr. regarding this matter. He informed us that we should coordinate with Ms. Agnes, Communication Department secretary, so that we can deposit the payment to the appropriate account. We spoke to Ms. Agnes afterwards and she explained to us the process and to which account to deposit the money.

NEW TASK: In order to pay the fee accordingly, we should deposit the money through the Accounting Office to the specified account given by Ms. Agnes.

CREATIVE REFLECTION: Due process should really be followed in order to properly accomplish a task. Financial matters should be carefully handled to avoid complications.

ACTUAL OUTPUT: The Physical Facilities Office asked for a copy of the letter of request I gave to the Office of Career Services. They informed me that they can lend five (5) tents for our event. But we need to pay the eight (8) people that will help set-up the tent for us. The fee requires Php43.00/person multiplied with eight (8) people multiplied with five (5) hours as it is the required duration for the tent set-up. Thus, the start of our event will be moved from 9:00 am to 1:00 pm due to the five-hour tent set-up.

PERCENTAGE DONE: 75%

NEW TASK: Pay the Communication Department the said amount. The Physical Facilities Office will get the payment through their account. Moreover, inform the group about such information.

CREATIVE REFLECTION: I didn't realize that setting-up a tent can consume five (5) long hours! But we still have to comply with the Physical Facilities Office with this regard. The manpower fee asked from the group was surprising but nonetheless we have to pay them their due. I just hope everything will go the way they have been planned in time for our event.

PROBLEMS ENCOUNTERED: Difficult to contact people.

ACTUAL OUTPUT: I have passed by Central Plaza last Monday (October 24, 2005) and bought a bag at one of the stalls. At some point, I had the idea of asking the seller if they will be willing to sell on our two-day bazaar on November 7-8, 2005 at the Sports Plaza A and B. It was only today (October 26, 2005) though that my partner in the Logistics Committee, Kristine Navarro, and I tried to ask the stall owner about my previous idea. And surprisingly Edwin Peraz, the stall owner, willingly agreed. He even offered to provide the group with as much concessionaires we need. And they're willing to pay the Php2000.00 rental fee as well! Mr. Peraz gave us his contact details. The group was delighted to know about this good news. So as agreed within the group, we asked Mr. Peraz to provide eighteen(18) concessionaires for our event.

PERCENTAGE DONE: 100%

NEW TASK: Make sure that all the concessionaires will be present on the day of the event itself.

CREATIVE REFLECTION: Turns out that what we were looking for was already presented right in front of our very eyes! We don't have to look that far because the answer to our need for concessionaires was right here in DSLU all along. It was such a good thing that my partner, Kristine, and I tried talking to the stall owner. To our surprise, Mr. Peraz has been so cooperative and willing to take part in our bazaar. He was the answer for our prayer of more concessionaires!

ACTUAL OUTPUT: I was able to make the request letter to Ms. Bernardo. I personally brought it to her office and they fortunately approved our request for the very much needed tent for our event.

CREATIVE REFLECTION: Everything assigned to our committee has been accomplished for the time being. This accomplishment brought our event planning stage into a higher level. At least we don't have to worry anymore as to where to hold our event and where to borrow the equipments needed for its implementation.
